User Guide: AI Calendar Tools

Overview

The Georgia Parenting Time Calendar Tool includes two AI-powered analyzers that work together to help you calculate parenting time percentages accurately:

• School Calendar Analyzer - Extracts holiday and break dates from your child's school calendar
• Parenting Plan Analyzer - Reads your parenting plan document and applies its provisions to the calendar

These tools are designed to save you time and reduce errors when setting up your parenting time calendar.

School Calendar Analyzer

What It Does

The School Calendar Analyzer reads a PDF of your school district's calendar and automatically extracts:

• Fall Break dates
• Thanksgiving Break dates
• Christmas/Winter Break dates (December break)
• Winter Break dates (February break, if applicable)
• Spring Break dates
• Federal holidays (MLK Day, Presidents Day, Memorial Day, Labor Day)

How to Use It

1. Get your school calendar PDF - Download the official calendar from your school district's website
2. Upload the PDF - Click "Upload School Calendar" and select your file
3. Review the results - The tool will display all detected holidays and breaks
4. Apply to calendar - Click "Apply" to populate the break date fields automatically

Understanding the Results

After analysis, you'll see a list of detected holidays with their date ranges. Some important notes:

• Inferred dates (marked with a star) - These are dates the system calculated for years not shown in your calendar, based on patterns and federal holiday rules
• Christmas Break vs Winter Break - Any break in December is labeled "Christmas Break." Breaks in February (often around Presidents Day) are labeled "Winter Break"
• Break extensions - If a Teacher Planning Day or Student Holiday immediately follows a break, it's included as part of that break since students are still off

Legacy Mode

If you prefer not to upload a PDF, you can use Legacy Mode to select from a list of pre-configured Georgia county school calendars. This uses estimated dates based on typical school year patterns.

Favorite Schools

What It Does

The Favorite Schools feature lets you save your frequently-used school districts for quick access. Instead of scrolling through all 67 Georgia school districts each time, your favorites appear at the top of the dropdown.

How to Use It

1. Find a school district - Open the school district dropdown and use the search box to find your district
2. Click the star icon - Click the star (☆) next to any school district to add it to your favorites
3. Access favorites quickly - Your starred schools now appear at the top under "Your Favorites"
4. Remove a favorite - Click the star again (★) to remove a school from your favorites

Important Notes

• You must be logged in to use the favorites feature
• Your favorites are saved to your account and will be available when you return
• Guest users can still search and select any school district, but cannot save favorites

Parenting Plan Analyzer

What It Does

The Parenting Plan Analyzer reads your custody agreement and extracts scheduling information, including:

• Parent identification (who is Parent A vs Parent B)
• Weekly custody schedule
• Holiday and break allocations (even/odd years)
• Date modification rules (e.g., "break starts when school dismisses")
• Summer schedule provisions

How to Use It

1. First, upload your school calendar - The parenting plan analyzer works best when it knows your school's dates
2. Upload your parenting plan PDF - Click "Upload Parenting Plan" and select your document
3. Review the analysis - The tool shows what it found and any date corrections
4. Apply to calendar - Click "Apply" to populate the form fields

Date Corrections

Many parenting plans specify rules like "Christmas Break begins when school dismisses" or "Spring Break ends the day before school resumes." The analyzer detects these rules and adjusts the school calendar dates accordingly. Fields that were adjusted are highlighted with a subtle animation so you can review them.

Important Notes

• The analyzer requires school calendar data to apply date corrections. Upload your school calendar first, or enable Legacy Mode.
• Always review the extracted information against your original document.
• The tool handles Georgia parenting plans and follows Georgia family law conventions.

Recommended Workflow

For the best results, follow this order:

1. Step 1: Upload School Calendar

   Start by uploading your school district's calendar PDF. This gives the system the baseline dates for all breaks and holidays.

2. Step 2: Review and Apply School Dates

   Check the extracted dates are correct, then apply them to the calendar form.

3. Step 3: Upload Parenting Plan

   Now upload your parenting plan. The analyzer will use the school calendar dates to apply any date correction rules.

4. Step 4: Review and Apply Plan Settings

   Review the extracted schedule settings, check any highlighted date corrections, and apply to the form.

5. Step 5: Fine-tune and Calculate

   Make any manual adjustments needed, then generate your calendar to see the parenting time percentages.

Tips for Best Results

School Calendar Tips

• Use the official PDF from your school district's website, not a screenshot or photo
• Calendars with clear visual formatting (colored/shaded days) work best
• Single-page calendar summaries typically work better than multi-page detailed calendars

Parenting Plan Tips

• Use a text-based PDF, not a scanned image (though OCR is supported)
• Court-filed documents typically have better text extraction than photos of printed documents
• If the plan uses non-standard terminology, you may need to make manual adjustments

General Tips

• Always verify the AI's output against your original documents
• The analyzers are tools to speed up data entry, not legal advice
• If something looks wrong, you can always manually edit any field
